1. The Email Invitation
Each Invitee will be receive an email titled “You Have Been Invited To Join A Meeting”, which will include instructions for how to accept and reserve their spot. The title, description, date and duration of the meeting are included in the email.
If the Invitee is already a KnowledgeSuite user, they will also receive a notification in their KnowledgeSuite Notifications
2. To View the Invitation
To view the invitation click on the "Click here to view your Meeting Invitation" link, they will be taken to a JOIN THE MEETING screen. (Note that the wording on this screen may change in future and we will revisit and edit the Help files when that happens)
The Meeting is automatically included in all Invitees' KnowledgeSuite calendars. If the Invitee would like to add the meeting to their personal calendar they can do so from this screen, by clicking on the appropriate icon at the bottom of the screen and following the instructions provided.
Note that if the Invitee is not yet a KnowedgeSuite user, they will be walked through the simple process of registering as a user before being directed to the JOIN THE MEETING screen. Please see Registration for more information on this process
5. Adding the Meeting to their Calendar
The Meeting is automatically included in all Invitees' KnowledgeSuite calendars.
The Invitee can choose to add the Meeting date to their personal Google or Outlook calendar. To add only this meeting to a personal calendar, Click on the relevant Calendar icon and follow the instructions provided.

If the meeting is a Free meeting, no payment will take place
If the meeting is a By The Minute meeting, Invitees will not be charged until they become Participants. To become at Participant the Invitee must click on the Join Now button during the scheduled meeting time, accept the call-charge pop-up, and actually enter the meeting itself. If they have not yet entered their credit card into the KnowledgeSuite system, they will be prompted to enter it at this time.
Participant credit card will be charged at the end of the call.
7. A the End of the Meeting
During any meeting, Participants can exit by clicking on the "Leave Meeting" icon on the bottom right corner of the Meeting room.
8. Call Summaries and Email Receipts
After a Free or By The Minute meeting has ended, Host and all Participants will receive personalized Call Summaries outlining the length of the call, the name of the Provider, the number of Free Minutes provided, and the total cost of the call that has been charged to the Participant's credit card. If the meeting was a By the Minute meeting, Host and Participants will also receive personalized email receipts outlining the same information for their records. Here is a sample of what a Participant Email Receipt looks like for a By The Minute Meeting.
